YouEDC Capture
- ePRO on the site’s tablet. The site pairs its tablet with the study by a one-time code on the new page “Site tablets” (from “ePRO adherence”); pairing signs out of the portal in the tablet's browser, and the tablet never keeps a team member’s access. In the patient’s card a team member presses “Hand over” next to the tablet: the tablet shows the patient’s code and the team member’s name to check, and after “Start the questionnaires” only this patient’s open questionnaires, one question per screen, with the same checks as on the phone. “Finish”, 5 minutes without a touch, “Take back” in the card or a handover to another patient send the tablet back to its lock screen, which shows nothing about the patient. The answers stay the patient’s own; the form shows that they came from the site tablet and who handed it over, and the audit trail keeps every handover and the end of each session with its reason. Patient questionnaires (ePRO)
- My studies: a working study and its QA environment are now one card with a Production | QA switch. The black stripe and Open production mean real patients, the orange one and Open QA test data. The environment whose team you are not in is greyed out with a lock and no link. The count, the search and the status filter count the study once.
- Patient files. A new section of YouEDC Capture gathers in one place every file the sites uploaded into the patients' forms (DICOM, photos, PDF), by each person's rights and without the forms hidden by blinding. Widgets on top: how many files, how many required files are still expected at visits that took place or whose window is open (with a list and links to the forms), how many are on check for personal data, the reading of images, rejected and withdrawn. Each line shows the personal data check, the reading and the form's status (SDV, approval, lock). A register in Excel and the files themselves in a ZIP by folders; every download, opening and file download goes to the audit trail. Central reading of images: a field is read by one reader or by two independent readers with an adjudicator when they differ; the new role Central image reader sees only those images, a read is never changed and goes to the audit trail. Patient files · Files and images in forms
- Remote electronic consent (eConsent). The project manager adds to a consent version the text approved by the ethics committee and questions on understanding; once saved, the text never changes, and its SHA-256 fingerprint is on the page. The investigator creates a link and a 6-digit code on the patient's page (shown once, the portal keeps only their fingerprints) and gives them to the patient in two different ways. The patient enters the code, reads the text, answers the questions (a wrong answer shows the explanation), can ask the doctor to call or decline, then signs: the full name, the code again, a handwritten signature if they like. The investigator checks the patient's steps and countersigns with their password; the consent is recorded with the date the patient signed, and the same link keeps the patient's copy with both signatures as PDF. Five wrong codes close the link for 15 minutes; every step is in the audit trail, and the patient's name never goes into the audit trail or exports. Remote electronic consent · Informed consent
- Forms in several languages. The eCRF builder has a Languages page: the forms' source language and up to eight translations (Russian, English, Hebrew, Arabic, German, Kazakh and others) with a table of how much of each form is translated. Only texts are translated: questions, hints, units, answer options, the form's name, the messages of checks and the visit names; the codes of fields and answers do not change, so exports and statistics do not depend on the language. The patient chooses a language at the top of the ePRO page (or the site, in the patient card), Hebrew and Arabic are shown right to left, and a questionnaire opens in the patient's language only when it is translated in full. The language of the answers is kept with the time and the device. A translation is part of the eCRF: after a release it waits in the draft until the next version, a reworded question marks its old translation as out of date, and every change goes to the audit trail. A licensed questionnaire (EQ-5D, SF-36) takes only the owner's official translation with its source, and the locked texts of a scale lock its translations. For a language the portal does not speak, the study also translates the buttons of the patient's pages Forms in several languages
- A study's validation package. Every study has its own package: the client's validation plan and summary report, the eCRF specification, the UAT scenarios and protocol, the traceability matrix and the release note of the version, all from the eCRF and the UAT runs. The platform's package the study relies on is shown alongside. “Send to the TMF” files each document in the study's eTMF; sending again changes only the documents that changed. Validation package
- Signature and lock of a single form. The signature settings get a third choice, “Every form”: the investigator signs a saved form on its page or from the Signatures list, and a change of the form's data withdraws the signature. “The whole patient” and “Every visit” stay. The new page Form locks: the data manager locks forms by a filter (visit, form, site, patient; clean, approved or all) with a reason such as “Interim analysis 1”, or one form on its page. Nobody changes the data of a locked form: not from the browser, an import, the API or ePRO; queries, SDV and signatures go on. Unlocking needs a reason, every step is in the form's audit trail. Lock of single forms · Investigator electronic signature
- Actions on event. The form's page in the builder, under its checks, gains rules “when the form is saved and the condition holds, then…”. The condition is the same as for checks: fields of this and other forms, the site, sex, the enrolment date. The first action sends the patient a questionnaire of an event “On event” a set number of days after the save or after a date of the form (“7 days after discharge”), open for the days set and repeated as many times as set. It appears on the patient's ePRO page, and the e-mail reminders come as usual. The second action opens a query to the site on a field of the form with its own text, such as “Serious event: send the SAE report within 24 hours”. When a correction makes the condition no longer hold, the action withdraws itself: the query is closed and a questionnaire not yet sent leaves the patient's page. Every run and withdrawal is in the patient's audit trail, and the page “Actions on event” shows what was sent to whom. An action works on new saves and reaches the QA environment at once Actions on event · Patient questionnaires (ePRO)
- A read API. A manager who may export the data makes a key that reads, or writes and reads, and the sponsor's warehouse, a CTMS or a statistics program takes the patients, the saved forms with their values and table rows, and the queries of its sites. The answer comes in pages, with filters by patient, site, visit, form and status, and updated_since gives only the changes since the last load. The key sees what the export gives: no forms for the unblinded team and no patients who withdrew the use of their data, no e-mail, date of birth or initials. Every read is logged (key, call, filters, rows), the last reads are on the API page. All the calls are described in OpenAPI 3.1 at /api/v1/openapi.json. API for hospital, laboratory and sponsor systems
- ePRO without the internet and as an app. The patient's link can go on the home screen: an icon called “Questionnaires”, with no study name. On a phone the patient calls their own, the questionnaires open now and in the next 7 days are kept; without a connection the patient answers, the answers are encrypted with the server's key at once and sent by themselves when the internet is back. The server accepts them only if, by the phone's clock, the questionnaire was filled in within its window, not before the copy was made and not more than 7 days ago. If the connection drops while an ordinary questionnaire is being sent, the answers are kept too. The form's record says “filled in without the internet” with the phone's time. The patient's phone as an app: without the internet and with notifications
- ePRO notifications on the phone. The patient switches them on after the PIN: when a questionnaire opens and on its last day. A notification is empty, with no study, questionnaire or data. The delivery service is chosen by the browser (Google, Apple, Mozilla), so the function is off by default: the admin switches it on once the lawyer agrees. The site sees on how many phones notifications are on and can switch them off; a new link switches them off by itself. The patient's phone as an app: without the internet and with notifications
- Data from any medical document. Every form has “Fill in from a medical document”: a discharge summary, a test report, a conclusion or an outpatient record as a PDF or a photo. Rules find what doctors write the usual way (“АД 142/88”, “вес”, the dates of the stay in one sentence, the ICD-10 code after the diagnosis, conditions in a list and their negation), and the local language model, which reads free text too, will be switched on after the move to the production server. The model's value is taken only when its quote stands in the document. The investigator ticks each value, next to its quote and the piece of the photo; the audit trail says “proposed by the machine (rules / local model) from document MD-n, checked by the investigator”. No outside AI service: the model may run only on the installation's own server or private network, every call is logged with the model's fingerprint, and the text itself is not kept Data from a medical document

- Database lock forecast. The Lock readiness page of a DM project gets a forecast: the conditional completion (a ring: half the checklist, half how far the counters fell), the date the study could lock at the current pace, and how it compares with the planned date on a timeline. Each counter, each site and the checklist show the pace of the last four weeks, the pace needed, the days to zero and an eight-week sparkline. “Where to look first” names what stands still or grows, where the pace is below the needed one, items past due and items without an owner. The forecast is an estimate, and the page says so. Every counter entered is now kept by its date; the history of earlier saves is restored from the audit trail. The forecast is in the report for the meeting and in the list of DM projects, and the Studio demo projects have six weeks of history. Lock readiness

- Safety: version comparison, submission plan, SUSAR package, reasons for late reports and the product profile. On the Versions and history tab two versions of a case stand side by side, and the portal says whether this is significant new information that needs a new 15-day report. The Submissions tab makes, for every SUSAR, the list of recipients by the countries of the sites (authority, ethics committees, investigators), each with its own deadline, unblinded or blinded version and form; the starting values for Russia, Israel, the USA and Germany are checked by a regulatory specialist. The SUSAR package (ZIP) puts into every recipient's folder a cover letter in its language and its forms, the unblinded E2B only for the authority and only for an unblinded member, with the checksums of all files. A report sent after its deadline is recorded only with its reason and CAPA, and the Submissions page shows the share of reports on time and the reasons for delays, also in Excel for the inspector. Product profiles bring together the cases, SUSARs, reactions against the RSI, the literature and the next DSUR of a product across all studies, never split by treatment arm. YouEDC Safety
YouEDC Sites
- Site file. Delegation log: who at the site does which study tasks, from when to when; the principal investigator signs it with the password, and the signed PDF is filed in the TMF as a new version of the site's log by itself. The cross-check of the log with the access and the qualification shows who works in the EDC without a line on the log, who entered data outside their dates or tasks, whose access stayed after the delegation ended and whose CV or GCP certificate is missing or expired. A new version of the protocol, an amendment, the brochure, the consent form or the CRF completion guidelines waits for each person on the log to confirm they read it, in the portal or on a paper sheet. The Site file (ZIP) button downloads the site file at any moment: sections, current versions, the log, the reading records, the inspection readiness and the SHA-256 of every file. Trial Master File
- Investigator cards. YouEDC Sites gets an Investigators page: a card per principal investigator, sub-investigator, coordinator or pharmacist the organisation works with. It keeps the specialty, the position, the workplaces from the site directory, the CV, the GCP certificate, the accreditation, IATA training and licences with their expiry: without a date of its own the usual term counts (GCP 3 years, CV 2 years); a new document replaces the old one, which stays with its file and SHA-256. “Documents expiring” lists what ends within 90 days. Experience can be confirmed from the organisation's studies that name the person as a site's PI, or taken from a public study page on clinomir.ru (the permit registry: protocol, phase, sponsor, permit, years), checked before it is saved; nothing about people is taken from clinomir.ru. The readiness bar says what is missing for a study start. A card can be downloaded and loaded as an open file the investigator hands over themselves; the organisation fills in the contacts and the legal basis. Each card records its basis and source, deleting it erases all of it, and the audit trail keeps only the card number and what was done. Investigator cards

- Suggestions to the developer became a tracker. A new kind, Question. Every suggestion goes one way: waits for the review → waits for the decision → we do it / we answer / we do not take it (or postpone until a date, or a repeat) → in a build → done in a release → the author checked. The top of Suggestions shows whose move it is. The package for the review leaves without names and e-mails, with only the screenshots an admin let go, and every package is written down. The developer's review is uploaded as a file: for each suggestion the gist, the risks, the recommendation and the answer to the author; the decision is taken on one screen or for all in one go. My suggestions shows the way of each one: the author adds to it, answers a question and marks “it works” or “it did not help”. What a release shipped becomes done by itself, and the traceability by release goes to Excel for the validation file. One letter a day to the author, a weekly reminder to the admin, the screenshots of finished suggestions are removed after 12 months (a setting). The place for the prizes counts the suggestions taken into work and done, not how many were sent. Suggest to the developer
- The platform's validation package. The new “Validation package” page shows every GAMP 5 validation document as a checklist by stage: plan, requirements (URS and Part 11), specifications, installation, reviews, testing and release. The portal writes them from its own data: the requirements with their risks, the hand-written validation documents, the results of the build's automated tests and the code checks. IQ protocols are executed on the page step by step, and screenshots are attached as evidence. Each document has versions 0.1, 0.2… and 1.0 once approved, PDF and Word, and the electronic signatures prepared, reviewed and approved. Supplier documents are signed only by the people the administrator names; client documents only by the client, so the supplier never approves them for the client. The validation certificate is issued only when every criterion is met. The whole package downloads as one ZIP with checksums. Validation package
- An IP allowlist for the project. Project settings get a Security block with Network access: the manager writes the addresses and networks (one per line, with a note if needed) and switches the list on. From then on the project and its API open only from these addresses; a person outside the list sees the page “No access from this network” with the manager's name. The list is off by default. The portal keeps the manager from locking themselves out by mistake: when their current address is not in the list, it warns and offers to add the address with one press; the portal administrator is never refused. Changes of the list and every refused attempt go to the project's audit trail. Network access to a project
- Two-step sign-in. The Profile has a new card “Two-step sign-in”: after the password the portal sends a 6-digit code to the e-mail; it works for 10 minutes and once, stops working after 5 wrong tries, and wrong codes count as wrong passwords. In the Security block of the project settings the owner switches on “Two-step sign-in for the team”: members enter the code when they sign in, and if it is switched on during a session, the portal asks for the code once before going on. It is switched on and off only with the password; that, every sign-in with the code and every wrong code go to the audit trail (21 CFR Part 11). Without mail set up the code cannot be switched on. Your account · Security and personal data
- Sign-in with the company account (SSO). The sign-in page has a “Sign in with your company account” button: a person enters the work e-mail, signs in at their company's page (Keycloak, Microsoft Entra ID, Google Workspace, ADFS or any OpenID Connect server) with its second factor and comes back signed in. The admin connects the company in Administration › SSO: the e-mail domains, the provider's address, the client ID and secret, and a “Check the provider” button; new people may get an account at their first sign-in (after the personal data consent), and password sign-in may be closed for the company's domains. The portal checks every answer of the provider (PKCE, state, nonce, issuer, audience, expiry) and lets in only addresses of the company's domains; the link, the sign-in and the settings go to the audit trail. Electronic signatures still need the portal password. Sign-in with the company account (SSO)
- Personal data encrypted in the database. The patient’s e-mail for ePRO reminders, the note of an attempt to reach a patient (it may hold phone numbers and the names of relatives), the patient’s name and signature picture in the remote consent, the study’s key of pseudonyms (with it, a date of birth and initials could be guessed from the duplicate fingerprint) and the address of a letter to a patient while it waits in the queue are stored encrypted with AES-256-GCM, each value bound to its column. The portal shows and sends them as before, while a copy of the database or SQL access shows only an enc1:… string. The key PII_KEY lives in .env, never in the database or its backups; the update makes it and encrypts the old data at the first start. With a wrong or lost key the portal does not start and says which key it needs; the key can be changed without stopping work. The note of a contact attempt is no longer copied into the audit trail. Administration → System shows that encryption is on, the key’s id and how many values are encrypted. Administration
